Events and Marketing Coordinator
Primary Responsibilities: Responsible for helping coordinate all chamber events; this includes events from coffee connections to ribbon cuttings to annual events such as the Annual Gala, golf tournament, community expo, and other events as organized. Be able to access event objectives and determine the most cost-effective means for resources and communication.
Key Responsibilities:
Oversees planning and logistics for all on-site and off-site events; attends most chamber events to ensure registration, check-in, payment collection, and setup are handled; motivates and recruits volunteers.
Analyzes event schedule and develops short-term and long-term strategy for resources and communication; works closely with event sponsors to understand objectives and requirements. Coordinates logistics to meet these objectives and requirements.
Establishes vendor relationships and preferred vendor pricing for all aspects of event planning; able to negotiate and persuade business partners and vendors to gain cooperation, make cost-effective decisions, and achieve customer objectives.
Manages clients, sponsors, and organization’s expectations with clear and persuasive communication.
Ensures set-up, coordination and execution of all chamber functions.
Coordinates invitations, thank you letters, or other correspondence to members, donors, and volunteers who support chamber events.
Provides support for any volunteer committee organized to develop and produce chamber special events.
Solicits sponsorships or auction donation items for chamber events.
Arrange hosts for monthly business after hours
Take photos at chamber functions for use in chamber materials or for media distribution.
Collect data for events calendar and for weekly fliers for chamber events, or other events as needed, and coordinates communication.
Social media posting of events both before and after as needed
Assist in the production of our Annual Community Guide
Promotional Publications, Social Media and Website Management
Community/Visitor Guide and Business Directory - Annual
Participates in coordination of partner participants, ensures accuracy in membership data, provide content (text and photos) for the chamber sections,
works to provide leads for advertising candidates for ad sales as able.
Map Publication – As needed

Social Media – As needed
Adds events, content, photos, and shares on various Social Media platforms.
Web Pages – As needed
Adds events, content, photos, etc.
Member Support
Helps support members in all ways possible

Qualifications
• Minimum of 3-5 years of leadership and/or event planning experience, preferably in a Chamber of Commerce, economic development, nonprofit, or membership-based organization.
• Proven ability to manage complex projects, budgets and multiple priorities.
• Excellent public speaking, relationship-building, and interpersonal skills.
• Demonstrated ability to lead and inspire.
• Passion for fostering a thriving business community.
Preferred Skills
• Familiarity with the Beaverton business community and surrounding areas.
• Experience in strategic planning and organizational development.
